Personal/Team Assistant – Commercial


We are looking for a Personal/Team Assistant to provide an extensive and complex range of organisational and administrative tasks in support of our Commercial Director and wider European Commercial Team. The ideal candidate will thrive on coordination, organisation and will be a self-starter. This position would be suitable for a range of experience from someone starting their career through to a person with a number of years in an administrative role.

You must have excellent organisational skills, be a confident communicator capable of dealing with people at all levels, always maintaining a confidential and professional manner.

Reliability and adaptability are vital for this role, together with the ability to work independently and to be flexible with changing deadlines and priorities.

Ultimately, you will be contributing to the efficiency of our client-facing business by providing efficient and timely support to our international Commercial team. You will be working as part of a vibrant, fast paced Commercial team, which will allow you to gain experience within a growing and dynamic organisation, where individuals thrive on change.

Key responsibilities

  • Acting as a key point of contact for the business, regularly liaising with clients, external partners and the wider company
  • Organising and managing a comprehensive schedule of meeting and diary requirements, both internally and externally for the Commercial Director and senior members of the Commercial team
  • Communicating with clients, scheduling calls and workshops plus arranging meeting agendas
  • Arranging business travel, including flights, transportation, accommodation and restaurants for members of the Commercial team
  • Meeting preparation including meeting room setup and management
  • Handling and filtering/responding to incoming correspondence
  • Supporting efforts to keep relevant data and systems accurate such as Salesforce
  • Collating and preparing presentations and proposals using Word, Excel and PowerPoint, including minute taking
  • Supporting and coordinating the internal functions of the Commercial team such as internal events; trainings and activities

Required attributes

  • Attention to detail, excellent coordination, time management and organisational skills
  • Strong ability to communicate clearly and professionally with both internal colleagues and clients
  • Strong team player; supports colleagues and shares knowledge; interpersonal skills with the ability to build effective relationships at all levels
  • Adept at managing a varied workload with the ability to multi-task and re-prioritise within a fast-paced and demanding environment
  • Ability to use initiative, forward plan and work under pressure, with a willingness to proactively take on new tasks
  • Intermediate to advanced Microsoft Office skills, particularly Outlook (diary management), MS PowerPoint, Word & Excel

Desirable attributes

  • Work experience as a PA or within a higher-level administrative position
  • Proven experience working for a fast-growing professional services business or in a sales/client facing environment
  • Proven work experience managing complex meeting schedules across multiple time zones
  • Experience with CRM systems such as Salesforce, Microsoft Dynamics or other platforms
  • Speaking one or more major European languages (e.g. German, French, Spanish, Italian) besides English
